Visitor Experience Coordinator

Position: Visitor Experience Coordinator
Location: Common Hope, St. Paul, MN
Reports to: U.S. Vision Teams Manager
Conditions: Part-time (20 hours per week)

Organizational Summary
Common Hope promotes hope and opportunity in Guatemala through a comprehensive approach that includes education, health care and housing. We work with impoverished children, families and communities to improve lives and break the cycle of poverty.

VISITOR EXPERIENCE COORDINATOR 

Position Purpose
The purpose of this position is to support the Common Hope Visitor Experience program and operations. This position will support the logistics, communication and data management of those traveling to Guatemala with Common Hope. 

The Visitor Experience Coordinator is specifically responsible for facilitating the application, payment, and airfare processes.This position monitors visitor requirements for travel and specific travel logistics.

Duties & Responsibilities: 

Operations
Support the US Vision Team Manager and all visitor operations including, but not limited to:

  • Manage visitor application process
  • Update Common Hope database
  • Monitor application requirements
  • Perform Vision Team audit
  • Maintain and manage Vision Team Roster
  • Customize communications for Vision Team Communications including, but not limited to:
    • Introduction email
    • Internal checklist
    • Customize Payment Calendar
    • Customize orientation agendas/reminders/recaps templates
    • Customize calendar requests and go to meeting links
  • Support and customizeClassyfundraising resources
  • Track, monitor, communicate and manage Classy fundraising to share with leadership

Logistics

  • Track, manage and book airfare
  • Monitor passport compliance and deadlines
  • Oversee invoicing and payment process for airfare
  • Assist in procurement and supply management of supplies to be delivered to Guatemala
  • Work closely with Business Support Specialist and US Vision Teams Manager for delivering Guatemala needs
  • Work with Strategic Relations Coordinator to initiate, record and track payment and pledges for visitors

Volunteer Management

  • Support procurement and delivery of warehouse items
  • Serve as the support for all packing party needs
  • Ensure the appropriate utilization of volunteers to efficiently deliver Vision Team Program
  • Inventory the warehouse items
  • Communicate with Guatemala procurement manager to understand the needs of the team

Relationship Management

  • Prepare collateral as needed for Visitor Experience presentations, orientations, info sessions, tabling events, etc.
  • Manage extended stay communication– independent travel documents and procedures in order to ensure policies and safety protocols for extended stay
  • Customize and prep birthday greetings/reminders templates for US Vision Team Manager portfolio

Experience and Skill Set
Candidates with a commitment to the mission of Common Hope and serving people in need encouraged to apply. The following skills are requested:

  • Demonstrated proficiency with the Microsoft Office Suite required
  • Excellent communication and organizational skills, strong attention to detail, ability to multi-task
  • Ability to work both independently and as a team
  • Pleasant manner, patience, problem-solving ability, dependability
  • Excellent communication skills — effective listening, writing, speaking, and presentation
  • Experience with Raisers Edge preferred
  • Three years business experience, Associate Degree or Bachelor Degree preferred
  • Demonstrated cross-cultural sensitivity and awareness
  • Spanish proficiency a plus
